Delete your CityGate account

This page tells you how to ask CityGate Church Inc. ("CityGate") to delete the account you use with our CityGate Mobile app, what happens to your data when we do, and what we're required to keep on file even after your account is gone.

1. How to request deletion

If emailing, please include the following so we can find your account and confirm it's really you:

  1. The email address you use to sign in to CityGate Mobile (and any other email address you may have used).
  2. Your full name as it appears on your account.
  3. A short note saying "Please delete my CityGate account."

You must send the request from the email address that's on the account so we can verify it's you. If that's not possible, reply from any email address and we'll work with you to verify identity another way before we delete anything.

What to expect: we'll acknowledge your request within 7 days and complete the deletion within 30 days of verifying your identity. You'll get a confirmation email when it's done.

2. What gets deleted

When your deletion request is processed, the following is permanently removed from CityGate's systems:

Data What happens
Your account profile Email, name, profile photo, and any other identity data held by Clerk (our authentication provider) is deleted.
Sermon notes and live note annotations Deleted.
Prayer requests you submitted Deleted from your account history. Anonymous prayer-team copies, if any were created at the time of submission, are also deleted.
Connect Cards you submitted Deleted.
Live chat and "raise hand" messages Deleted.
Notification preferences and push tokens Deleted, so you stop receiving push notifications.
Legal acceptance records (EULA / Terms / Privacy) Deleted.
Kids check-in records you created as a parent or guardian Deleted from CityGate's copy. (See section 3 about Planning Center, the system the church uses for the actual check-in record.)

3. What we have to keep, and for how long

A small amount of information cannot be deleted on request because it is held to meet a legal, financial, or safety obligation, or because it lives in a system the church relies on independently of the App. Where we keep something, we tell you below what it is, why, and for how long.

Data Why we keep it & for how long
Donation / giving records U.S. tax law requires churches to retain contribution records for at least seven (7) years. Giving in CityGate is processed and stored by Planning Center Online, not by CityGate Mobile — our copy of the App does not store giving data, but the church's record of your donations remains in Planning Center for the legally required period.
Your record in Planning Center Online (membership, contact info, attendance, kids check-in history) Planning Center is the church's system of record for membership and is independent of CityGate Mobile. Deleting your CityGate Mobile account does not remove you from Planning Center. To request removal from Planning Center, please make that request separately in your email so the church office can act on it.
Admin audit logs (only if you were a staff or admin user) Records of administrative actions you took (e.g., editing sermons, sending announcements) are retained for up to seven (7) years for accountability and legal review. Your name may appear in those logs even after your account is deleted.
Encrypted system backups Backups of the database roll off automatically and are fully purged within 35 days of deletion. Until that window passes, your data is not in any active system but may still exist in encrypted backup storage.
Anonymized, aggregated usage statistics Counts and trend data that no longer identify you (e.g., "total sermon-note views this week") may be retained indefinitely.
